Dear Wedding Couple,
Thank you for taking the time to read this, this is for your reference throughout your wedding journey with us! Weddings are our business, and we love that you have booked with us. We (Mary and John) and our carefully selected team that have poured our hearts and souls into this business. We use family heirlooms, glasses, china, lots of things passed down in our family to share with you because we want to.
We want your day to as special as possible. Nothing gives us greater joy than to see happiness, and this world needs lots of that!If you have questions not answered here, please email them to Mary- mary@bayfieldbedandbreakfast.comas we know you have lots of questions which is why we created this Wedding Guide.
We pay every attention to detail as possible, so you can have a wonderful day!
We like to surprise you with an added touch here and there.
We don’t think you should know everything about your day!
We are a small business and don’t charge for extras like others do.
We don’t even add a mandatory gratuity; we leave that up to your discretion.

Information and Timelines
Do you need rooms reserved for your guests? The Bayfield Boutique Bed and Breakfast has three king rooms. Perfect for family and besties attending your wedding.
Accommodations:
When you or your guests book our rooms SAVE the tax!
We do require a two night minimum on high season weekends from June 1- September 30th
Lets get started:
120 Days Before Wedding
This is the time you should be sending out your wedding invitations!· If you have been married and divorced outside of Canada, you need to call your divorce papers please call your local municipal office ASAP and ask what they require.
Guest Shuttle · You may want to hire a shuttle to bring your group to and from the venue if they are staying outside of the village.

Bar and Serving Alcohol·
If you want to serve alcohol you will need to purchase an Alcohol Liability Insurance Policy from https://www.palcanada.com It will insure your wedding day and cover you for liability when serving alcohol to your guests. This insurance is necessary and if something out of your control happens. It is not expensive for a one-day policy. ·
You are required to purchase a Liquor License from the Alcohol Gaming Commission of Ontario https://www.agco.ca/ you cannot serve alcohol without it.
Also have it with you when you purchase all the liquor or beer for your wedding.
They need it for everything you are buying. You cannot bring homemade or “gifted’ or alcohol from home. You can return anything unopened to them for reimbursement.·
We require that you have one of our designated Smart Serve bartenders @$250 for one bartender that can serve up to 40 people for your event.
If over 50+ guests there will be two bartenders cost is $500 for both for your occasion.·
If you’re serving any liquor you need to also purchase the mix pop, lemons, limes etc., that go with it. We prefer you to purchase large bottles of pop as we have limited space for the bartender to work in, PLUS there is less waste.
Do not bring bottled water we have gorgeous safe-water and bottled water and plastic straws are prohibited in our area. Don’t forget the ice! You will need up to 12 bags of ice for your day.· We supply water, tea and coffee.
Bar Guidelines
Based on our experience people tend to buy more than necessary, here are some suggestions: · Half a bottle of wine per person, the amount, half red, half white, plus one for each table.· Up to three kinds of beer, 2 bottles per entire guest list. 40 guests = 80 bottles of beer· Two kinds of hard liquor.·
Example 30-person wedding – that means 4 tables for the reception: 15 bottles of wine (plus 8 for the tables) = 23 bottles of wine. 60 bottles/cans of beer, Two bottles of hard liquor are plenty for a group of 30 and mix etc., remember you can’t over serve or allow guests to drink and drive.
Bring up to 12 bags of ice the morning of your wedding- please ask how many to bring we can tell you.· You can have one “Wedding Signature Drink” perhaps a favourite cocktail that you two enjoy, that you want to share with your guests.· We have champagne glasses – please notify so we can have them on hand.·
Please note we supply glasses.· Please do not buy ‘one off’s’ meaning one type of cocktail for one guest and another for another guest and so on, it is too difficult for the one bartender to stop and make one drink for someone that is different from the regular selection when you only have one bartender. If you would prefer two bartenders so you can offer custom drinks, we can arrange that!
Alcohol -Free Weddings –
Mocktail Bar· Supply your own pop, or lemonade, iced tea etc.· You can also do a punch; we have two glass dispensers that you can make a tasty punch in for your guests.· We can have water on hand in a dispenser.
What to tell your guests:· Small children need to be supervised at all times.· Please let your guests know there is free parking across the street at the park.· As we are a historic property, we are not accessible for wheelchairs but certainly walkers via at the Garden House front door. The bathroom is located inside the house and it is two steps up.· Have anyone who needs special accessibility to park as close to the property as possible. · We keep the driveway clear for guests to walk into easily accessing the building and gardens.· The wedding area will be setup for your guests, and one of our team will be there to greet everyone on your behalf.
60 Days before Wedding
Our Payment Plan - Payments by e-transfer to the designated email. We also require a credit card on file for any incidental’s that may occur.· The non-refundable save the date deposit has been received at time of booking and then your remaining total is broken up into three easy payments.· 60 days pre-wedding one third is due. · 30 days pre-wedding one third is due.· 10 days pre-wedding the final amount and any adjustments are due.
30 days before Wedding · The second wedding instalment payment is made. ·
The menu below is decided at this time that is posted on our site. Please advise of any special dietary requirements. ·
Choose your wedding ceremony from below
The wedding officiant will be in touch with you before your ceremony to discuss options and how you can personalize your ceremony. · Did you know the most important part of the wedding is the legal ceremony and it only takes about 15 minutes!
We can offer you a civil or non-denominational ceremony or without, readings, poems, lighting of candles, pouring of sand, etc. You can also write your own vows to exchange with each other. ·
10 Days before Wedding· The final payment is made for wedding. If more people are added after this date this can be settled the week of the wedding.· You can notify us of your wedding song. You are welcome to bring a playlist for the wireless speaker.· Please inform who is walking the wedding person down the aisle.· If you have customized table runners, or anything specific to your table setting, we will need that a week before your special day!
Table Decorations· Table centrepieces are provided from our in-house stock. You are welcome to provide your own if you wish.· If you have customized table runners, or anything specific to your table setting, we will need that a week before your special day! · Your table is set with lovely china, chargers, flatware, napkins and glasses.· There is a water pitcher per table as well, filled with ice water.
Guest Gifts and Table Place Cards· You can drop off any guest gifts or any table seating or place cards the day before your wedding.· You are welcome to bring a signing book and pen if you choose, and a gift envelope box.· Guest gifts can be set in basket or at each guest’s place setting.· We have a cake stand for your cake.
No rehearsals are necessary with all the guidance and instructions we provide.
Please provide us with your wedding license at the earliest time please.
Your Wedding Day· One Partner and Wedding Party please be at the wedding venue 30 minutes prior to ceremony to help greet the guests. ·
Officiant will be there at the same time to welcome guests and give direction on your behalf.· Mary/ staff person is with the other partner before the ceremony and brings them and their party to the ceremony. Or, if wedding person is coming straight to the venue Mary/staff person will greet them to bring them into the ceremony. · Mary co-ordinates and directs the group every minute of the way, you never have to worry she is with you right up until you walk into the ceremony.· As a ceremony finishes the officiant makes any special announcements before the new couple is announced. “The New Couple will be taking photos outside and nearby for approx. 90 minutes. The beverage/bar area is open for guests to enjoy during this time. The smoking area is at the fire pit only. The bathroom location etc. If you have any special announcements, please let us know.·
Everyone is informed what's happening in the next hour and a half while the bride and groom have photos taken. · The team will be rearranging the tables and chairs for the meal and finishing preparing the wedding dinner/lunch.·
The Meal - Mary or John announces dinner and gets everyone seated. If there is Grace/blessing it will be said by someone you choose. Mary or John then welcomes everyone and offers a special welcome on behalf of the Wedding Couple. We announce the meal and what is being served. At that time our team is introduced to everyone.
Then announced that after dinner, dessert and coffee/tea will be served and at that time any cake cutting etc.·
Do you have a Master of Ceremonies- speeches can be said during dinner or it can wait until dessert is served too, you can decide.
Extra Information for your special day
Outdoor Fire pit
There is a fire pit outside that you are welcome to enjoy during or after your reception on nights it’s not too windy. You must put the fire out before retiring for the night.
Wedding Night After everyone leaves, you relax unwind, for the two of you to enjoy, breakfast is provided the next morning.
Take your time, checkout is at 11 am.

Wedding Contractual Agreement:
To the Signees:Bayfield Boutique Bed and Breakfast OR Wedding Cake Cottage does not accept any responsibility for damage to or loss of any articles or property left at Bayfield Boutique Bed and Breakfast OR Wedding Cake Cottage prior to, during or after the event.
The WEDDING COUPLE hereafter the CLIENT agrees to be responsible and reimburse for any damage done to Bayfield Boutique Bed and Breakfast OR Wedding Cake Cottage by the CLIENT, his guests, invitees, employees or other agents under the CLIENT’s control.
Cancellation Policy. In the unlikely event the CLIENT should cancel all transactions are non-refundable, but transferrable to a new date within 6 months that is agreeable to the venue. An extension may be agreed upon outside these terms subject to availability and the venue. Special consideration will be given to extreme Covid circumstances.
If the CLIENT fails to meet or violates any terms of the contract, in which case the provisions of this cancellation policy also apply. The CLIENT shall not assign or sub-lease any terms, conditions or services contained in this contract Bayfield Boutique Bed and Breakfast OR Wedding Cake Cottage to any other party.
Contract Signature. This contract constitutes the entire agreement between Bayfield Boutique Bed and Breakfast OR Wedding Cake Cottage and the CLIENT and becomes binding upon both parties when signed. We love food – and our catering team offers wonderful and delicious options using the freshest of ingredients –

Our team will bring one dish at a time, right after one another and serve everyone seated at the tables
Choose one of the following:
• Roasted garlic potatoes
• Garlic Mashed potatoes
• Rice Pilaf
• Roasted sweet potatoes with salt and pepper and olive oil
Choose two of the following:
• Caesar salad with croutons, parmesan cheese and bacon
• Field Green Salad with cucumber, grape tomatoes, croutons with Balsamic Vinaigrette
• Greek Salad - greens with feta cheese, black olives red onion and oregano
• Baby spinach salad, apples, oranges, with dijon vinaigrette
• Potato Salad, celery, red onion, hard boiled eggs- we can add bacon too!
• Pasta Salad, cherry tomatoes, red onion and peppers with a vinaigrette
• Maple Syrup glazed carrots
• Sautéed green beans
• Ontario corn with butter
• Pickle and olive tray
Main Dish choose one:
• BBQ Chicken or Greek BBQ chicken with lemon olive oil and oregano
• Chicken with roasted red pepper and feta sauce
• Chicken with mushrooms, shallots, topped with Swiss cheese
• Salmon fillet with maple and dill sauce
• Pan seared pork tenderloin medallions in apple cider & sage reduction
• Portobello Mushrooms with garlic
Second Main Dish choose one:
• Vegetarian Lasagne (vegetarian friendly)

You're welcome to bring your own wedding cake or cupcakes or if there is a family favourite dish just let us know and please bring it. We can provide an accompaniment ice cream
